Sera Wildlife Conservancy ("Sera", "we", "us", "our") is committed to protecting the privacy and personal data of everyone who supports our conservation work. This policy explains what information we collect when you make a donation through our website, how we use it, and your rights.

We handle personal data in accordance with the Kenya Data Protection Act, 2019 and its regulations.

When you make a donation, we collect:

  • Your organisation name (if you choose to provide it)

  • The donation amount, currency, and campaign selected

  • Any message you choose to include

  • A transaction reference and payment status

We do not collect or store your full payment card details. All card information is captured and processed securely by our payment processor, Absa Bank Kenya PLC, within their PCI-DSS compliant environment.

3. How We Use Your Information

We use your personal data to:

  • Process your donation and confirm your payment

  • Send you a donation confirmation and receipt

  • Keep accurate financial and donor records for reconciliation and audit

  • Respond to any enquiries or refund requests

  • Comply with our legal, regulatory, and reporting obligations

If you choose to donate anonymously, your name will not be publicly displayed. However, we still retain your details privately for financial record-keeping and to send your receipt.

4. Legal Basis for Processing

We process your personal data on the basis of:

  • Your consent, given when you submit a donation

  • The performance of a transaction you have requested

  • Our legal obligations to keep proper financial records
     

5. Sharing Your Information

We do not sell, rent, or trade your personal data. We may share limited information only with:

  • Our payment processor (Absa Bank Kenya PLC), to process your donation

  • Regulatory or governmental authorities, where required by law

  • Our authorised staff, who need the information to carry out their duties

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse. Access to donor information is restricted to authorised personnel only. Payment card details are never stored on our systems.
 

7. Data Retention

We retain donation records for as long as necessary to meet our financial, legal, and audit obligations, after which they are securely deleted or anonymised.

Under the Kenya Data Protection Act, 2019, you have the right to:

  • Be informed of how your data is used

  • Access the personal data we hold about you

  • Request correction of inaccurate data

  • Request deletion of your data, subject to our legal record-keeping obligations

  • Object to or restrict certain processing

  • Withdraw consent at any time
